Enhancing leadership effectiveness & organisational efficiency at Akar Umbi. Reflecting on my internship experience, I propose the following recommendations to strengthen coaching leadership, streamline coordination, reduce communication overload, and improve resource management & feedback loops. Mentoring accelerates onboarding & confidence.

1. Structured Mentorship for New Members

Pair newcomers with experienced mentors to ease the transition into autonomy. A formal buddy system provides guidance, regular check-ins, and personalised feedback—reducing uncertainty and boosting confidence, productivity, and morale.

  • Create mentor–mentee matching rules (role, skills, availability).
  • Set 30/60/90-day goals with short fortnightly check-ins.
  • Provide a lightweight feedback template for both sides.
  • Recognise mentors’ contributions in team rituals.

2. Shorten long discussions while keeping inclusiveness

Distribute agendas beforehand, time-box items, and clarify decision protocols (owner, rule, deadline). Use pre-reads, quick polls, or surveys to surface alignment before the live discussion.

  • Agenda sent ≥24h prior with expected outcomes.
  • Set decision owner + method (consent/consensus/lead call).
  • End with action list (owner, due date, status field).

3. Reduce message fatigue; ensure urgent items get timely attention

Segment channels by urgency; tag accountable owners; limit broadcast hours. Clarify when to use WhatsApp vs. email vs. Monday.com to keep discussions searchable and actionable.

  • Create “Urgent” vs “Non-urgent” groups with norms.
  • Tag specific owners; avoid “@all” unless critical.
  • Adopt message templates (context → ask → deadline).
  • Use labels/filters to triage inbox & mute noise.

4. Real-time visibility of spend, savings, and overruns

A shared sheet per event with categories, owners, planned vs. actual, and notes enables proactive decisions and transparent trade-offs across the team.

  • Template: Category / Owner / Plan / Actual / Variance.
  • Link line items to supplier docs & approvals.
  • Snapshot costs post-event to build benchmarks.

5. Turn participant input into actionable improvements fast

Use structured forms grouped by strengths, weaknesses, and recommendations. Share a team brief within 48 hours and capture next-iteration changes with owners and due dates.

  • Form sections: Goals, Highlights, Pain points, Ideas.
  • Quant + qual fields for quick scoring & quotes.
  • 48-hour summary brief to all stakeholders.
  • Log “change decisions” & measure next-run impact.
